The church has established and implements guidelines titled “Guidelines on Information Disclosure and Personal Information Protection” regarding standards for disclosing information obtained and the associated obligations to protect personal information.

•    The content of these guidelines has been approved by the Church Committee and the General Assembly of Congregants.

•    These guidelines clarify the standards for information disclosure and prohibit the disclosure of any information that could lead to contact with the individual concerned.

•    Exchanges of opinions regarding the content are conducted via a mailing list, and the site administrator is required to be a member of this mailing list.

•    The administrator of this site is also responsible for ensuring that the site’s content complies with these guidelines.

Regarding Standards for Information Disclosure

“Information” includes personal information obtained within the church, records and photographs of activities, creative works and other outputs, and all information related to operations. “Information” is classified into the following three categories. When disclosing information, it is necessary to carefully consider the significance of that information and the potential consequences of its disclosure. 

1) Information that should be disclosed to the public due to the public nature of church activities.

•    Information to be disclosed outside the church includes church activities and policies, location and contact information, and information regarding the parish priest.

•    Information that should be disclosed within the church includes details regarding baptisms, First Communion, Confirmation, marriages, new members joining, members leaving, and deaths, as well as contact information for the leaders of each activity.

2) Information whose disclosure is encouraged from an educational perspective to broaden the scope of activities.

•    Records of church group activities, etc. However, when disclosing such information outside the church, keep in mind the “Privacy Protection Perspective” described below.

3) Information that should not be disclosed from the perspective of privacy protection.

•    Information that should not be disclosed even within the church includes details unrelated to church activities, such as parishioners’ family composition, schools attended, and health conditions.

•    Information that should not be disclosed outside the church includes personal information such as parishioners’ addresses, phone numbers, places of employment, and dates of birth. In particular, the publication of membership rosters to parties outside the church is prohibited.

•    However, this does not apply to personal information regarding responsible parties or others if the individual has given their consent.

Regarding Personal Information Protection

“Public disclosure” includes disclosure to parties outside the church through newspapers, magazines, the Internet, etc., as well as disclosure via the church newsletter “Otodore.” Printed materials distributed may be seen by a wide range of people. Moreover, on the Internet, it is impossible to know who will access the information. To prevent criminals from exploiting any vulnerabilities, observe the following precautions.

1) Precautions Regarding Disclosure of Information to the Public

•    Do not publish information that could enable contact with the individual, such as a member’s address, phone number, school, or place of employment. Keep the use of members’ names to a minimum and avoid publishing them in the form of a directory.

•    When publishing photos of activities, avoid presenting them in a way that allows a specific person’s face to be matched with their name. If a person can be identified from the accompanying text, lower the resolution and blur the photo.

•    The church newsletter “Seta no Oka” is produced for the purpose of communicating information to church members and is not intended for general public distribution outside the church; therefore, verify the content before making it available to the general public.

2) Precautions Regarding the Disclosure of Information Within the Church

•    As a general rule, information obtained by the Public Relations Committee must not be used for any purpose other than the church’s public relations activities. If this information is to be used as data, the purpose of use must be confirmed.

•    Since materials for the General Assembly of Congregants and similar documents may be distributed quite widely, the principle is that personal information should not be included unless absolutely necessary.

•    Even information that is currently customary to disclose should be re-evaluated.

Regarding Secondary Use of Published Information

The copyrights to the text, illustrations, photographs, and programs posted on this site are owned by this church or related parties. If you wish to reprint or quote any content, please contact the administrator.
